Creating and Editing WhatsApp Templates

To send WhatsApp marketing messages, you must first create message templates and submit them for WhatsApp’s approval. Once approved, these templates can be used to deliver structured messages—such as welcome greetings, promotional offers, or win-back campaigns—to your subscribers.

💡 Template Approval Process

Templates are submitted through our app, but approval is handled by Gupshup, our messaging provider.

Approval is required before any messages can be sent. This process typically takes just a few minutes, and the approval status is automatically updated in the app.


How To Create a New WhatsApp Template

  1. In the app sidebar, click "WhatsApp Templates."



  2. Click the "Create template" button.



  3. Enter a template name and select a template type (e.g., Opt-in greeting message, Campaign, etc.).



  4. Set the Message header type. You can select from three header types: no header, text header, & image header.


    If you selected the text header or image header type, you can add text for the header text or add image content.



  5. Next, compose the Message body (up to 1024 characters). Click "New body variable" to insert variables like subscriber names or discount offers, etc.


    💡 Note:

    You can only have one variable for text header.

  6. Lastly, there are the Message buttons. You can include up to two buttons for your template. You can set the button text here and also use actual links as well.



  7. Click the "Save template" button to finish creating your template and submit it for approval.



Once saved, the template appears with a Pending approval status in the WhatsApp Template page.



You can click "Reload Status" button to refresh and view the updated status of your templates.



How To Edit an Existing Template

⚠️ Important:

To edit WhatsApp templates, you must have a dedicated WhatsApp number set up through Gupshup. Check this article to learn how: How can I set up a dedicated WhatsApp marketing number?

  1. In the app sidebar, click "WhatsApp Templates."



  2. Locate the template to edit and click the ellipsis (⋯) button under Actions, then select Edit.



  3. You can now update the following:


    1. Template name - You may edit the template name. This is for your reference only.


    2. Template type - Choose a different type (e.g., Opt-in greeting message, Campaign, etc.).


    3. Message header type - You can select from three header types: no header, text header, and image header. If you have the text or image header type, you can edit the header text or change the image content.


    4. Message body content and the variables - You may edit the message content here and manage variables by adding or removing as needed.


    💡 Note:

    6. Message buttons - You may add or delete buttons, and edit the button text.




  4. After reviewing your edits, click the Update template button to save your changes.



  5. After that, you should see your edited template in the WhatsApp Template page and it will show with a pending approval status.



    The approval process typically takes just a few minutes. Our app will get the status update in real time, and show the result in the template table on the "WhatsApp Template" page.


    You may click the Reload Status button to refresh and see the updated status of your templates.



How to Use Variables in WhatsApp Templates

Variables allow you to personalize messages using dynamic content. Below is an example message body:

Hello {{1}}, welcome to {{2}}, you will get {{3}} for all orders.

When setting up a campaign, you can map:

  • {{1}}: [customer_name]
  • {{2}}: [shop_name]
  • {{3}}: 10% OFF using code [discount_code]

Resulting message:

"Hello Charlie, welcome to Hextom SPM store. You will get 10% OFF using code OFF10 for all orders."


Supported Placeholders:

  • [customer_name] — Subscriber’s name
  • [shop_name] — Your store name
  • [discount_code] — Code set during campaign setup
